How I actually keep track of our clients without chasing anyone
Part of running operations at an agency is a question that never really goes away: what's actually happening right now, across every account, without me having to ask someone to tell me?
For a long time the honest answer was "not much, until someone flags a problem." Status lived in whoever's head was closest to the account. Reporting meant someone stopping their actual work to summarize it for me. By the time I saw a margin issue or a slipping timeline, it had usually already cost something.
That's not a people problem either, it's what happens when visibility depends on someone remembering to surface it.
The stack, plainly
- Mavity is where the AI workflow generator side lives the actual production and request data, what's moving, what's stuck, what's been delivered.
- ClickUp is where the granular task-level work lives, the day-to-day of each pod.
- And Claude is what I use to actually make sense of both without manually pulling reports or waiting on someone else's summary.
That's it. Not a dashboard nobody opens, not a weekly deck. A working loop I can query directly, with AI content workflow automation doing the part that used to be someone's Friday afternoon.
What that looks like in practice
Say I want to know which accounts are trending toward a margin problem before it's an actual conversation with a client. Instead of asking a pod lead to compile that, taking them off billable work to build me a report, I can pull the relevant data and have Claude help me see the pattern immediately. Which accounts logged more hours than the SOW accounted for. Which clients are trending toward a threshold that would trigger a repricing conversation. That used to take someone a half day to assemble. Now it's something I can check myself, whenever I need it, without adding to anyone's plate.
Same with requests. If something's been sitting unassigned longer than it should, I don't need someone to notice and flag it, I can see it directly.
What I'm not saying
I'm not saying I don't talk to my team. I still do, constantly, that part hasn't changed and shouldn't. What changed is that those conversations are about decisions now, not status updates. Nobody's spending time telling me what's already visible. We're spending it deciding what to do about it.
That's the actual value. Not less communication - less time wasted communicating things a system should already show me.
